MAIKAI  CODE  OF  ETHICS

This code of ethics is crafted to provide Maikai employees with a comprehensive understanding of the principles that underpin their role as integral members of the Maikai Team.

The aim of the Code of Ethics is as follows: 

 

  • Guidance: To provide a clear and comprehensive guide to Maikai employees on ethical principles and expected conduct, fostering a shared understanding of the Maikai’s values.

This is crucial in minimising legal and reputational risks associated with the handling of sensitive information.

Client Data Protection: At Maikai, we recognise and respect the confidentiality of client data and information. Our team members are entrusted with the responsibility to handle such information with the upmost are and discretion. Specific practices and information can be found in the Maikai Data Protection Policy.   

 

Proprietary Information: All internal information marked as proprietary of confidential must be handled with diligence. This includes business strategies, financial data, and any information to the success and security of Maikai. The various classifications of information can be found in the Maikai Data Protection Policy.  

 

Non-Disclosure Agreements (NDAs): Adherence to the terms of non-disclosure agreements is mandatory. Team members involved in projects requiring NDAs must strictly abide by the specified terms and conditions, ensuring the protection of confidential information.   

 

b. Data Security:

Secure Handling: At Maikai, we implement secure methods for the collection, storage and transmission of confidential information, both in digital and physical formats, to mitigate the risk of unauthorised access or disclosure. c. Employee Obligations:

Professional Responsibility: All employees are expected to exercise professional responsibility in handling confidential information, refraining from discussing or disclosing sensitive matters outside the scope of their work.   

 

Exit Protocols: Upon departure from Maikai, employees must return any company property and refrain from disclosing or using confidential information acquired during their tenure.

  

d. Reporting Breaches:

Prompt Reporting: Any suspected or actual breaches of confidentiality must be promptly reported to the appropriate channels. Timely reporting allows for swift action to mitigate potential risks and uphold the trust placed in us.    

 

e. Continuous Awareness: Training and Awareness: Regular training sessions and communication initiatives are conducted to keep employees aware of the importance of confidentiality and to update them on the best practices for data protection.

4. Preventing Conflicts of Interest: 

 

This section is designed to assist employees in identifying and effectively managing conflicts of interest, thereby safeguarding against situations where personal interests could compromise the integrity or objectives of the organisation. By providing guidelines and mechanisms for recognition and resolution, Maikai aims to ensure that the professional conduct of our employees aligns with the highest standards, preventing any potential conflicts from undermining the organisations integrity and overarching goals.

Identification: Employees and consultants must be vigilant in recognising situations where their personal, financial or professional interests may conflict with the interests of Maikai or its clients.

Disclosure: Any potential or actual conflicts of interest must be promptly disclosed to the designated authority within the organisation. Full transparency is essential for proper assessment and resolution.

b. Types of Conflict:  

​

Financial Interests: This includes situations where employees or their close associates have a financial interest that may directly or indirectly impact the services provided by Maikai.     

​

Personal Relationships: Conflicts may arise from personal relationships that could influence or be perceived to influence, professional judgement and decision-making. 

​

Outside Employment: Engaging in external employment or activities that may compromise the commitment and focus required for Maikai is considered a conflict.  

 

c. Resolution and Management:

Recusal: In situations where a conflict of interest is identified, individuals may be required to recuse themselves from certain decisions, projects, or activities to ensure impartiality.

Approval Process: Certain conflicts may be managed through an approval process, wherein the individual involved seeks permission from designated authorities before proceeding with the conflicting activity.  

 

d. Annual Declarations:

Annual Disclosure: Employees and consultants are required to provide an annual declaration of potential conflicts of interest, ensuring ongoing transparency and awareness.

Disciplinary Action: Failure to disclose conflicts of interest may result in disciplinary action, ranging from warnings to termination, depending on the severity and impact of the non-disclosure.
